Frequently Asked Questions


How do I begin customizing my site?
As the administrator, the first thing you should do when you get your site is input your company defaults. Doing so will ensure that when you add your employees, everyone will have the same default information applied to their accounts! To do this you’ll need to:

  • Login
  • On the right-hand side of the page, click the “Administration” tab.
  • Input your COMPANY, EMPLOYEES, HIRING, and other information by clicking the relevant tabs on the horizontal navigation bar.

Tips:

  • Don’t miss the sub-tabs in each navigation field. (In the COMPANY section, the sub-tabs are “General Info” and “Departments.”)
  • Make sure you add valid e-mail accounts to the “System Administrator Email Notification Address” and “Human Resources Email Notification Address” boxes—they receive important information!

How do I automate and track vacation, sick days and employee time off?
We start your Time Off categories with “Vacation” and “Sick” time, but you can add as many new types as you’d like. When you add an employee, their allocated time off for each type will equal the default amount you chose during setup.

To change your Time Off defaults:

  • Login as an administrator
  • Click “Administration” on the right of the page
  • Click TIME OFF in the horizontal navigation bar

You can click the “Vacation” or “Sick” types to customize the accrual systems for each. You can also choose “Add a New Type” to add Professional Development, Maternity Leave, or any other kinds of Time Off you’d like your employees to have.

If you need to make changes to individual employees, click STAFF on the main menu, click the name of the person, choose the TIME OFF sub-tab, choose the appropriate type of Time Off, then click the “Annually Allowed” or “Currently Available” days to make the change.

I have customized my Administration, now how do I get employee information into TribeHR?
You have a couple of options for getting your employees into the system. If you have a lot, we suggest importing them! If you don’t have many, then you may enjoy adding them individually.

Once you’ve set your administrator defaults, click the STAFF tab on the main menu. On the right side of the page your Popular Activities menu appears: from this menu you can either “Add an Employee” or “Import Employees.” The on-page instructions for each will make sure you’re set up in no time.

My employee information is in TribeHR, how do I get employees logged in and onboard?
You can invite your staff to join TribeHR by clicking STAFF on the main menu, and then selecting “Invite an Employee” from the Popular Activities list.
Make sure you send the invitations to the email addresses that you want to have associated with their user account—the employee will be emailed an invitation and be prompted to login and complete their employee profile!

Since you can customize the information you collect for each employee profile, make sure you’ve created your custom employee fields in the Administration section before you invite your employees. This way, no one will have to backtrack to add new information.

How do I make changes to individual employee files?
To make changes to individual employee files, simply login as an administrator, click STAFF, and pick the employee profile that you wish to change. You can then click “Edit Profile” to make the necessary changes.

How do I pull employee and time off reports from TribeHR?
With TribeHR you can get a variety of pre-made reports, including the Salary Summary, Skills Matrix, and (incredibly useful!) Time Off Report. They’re all available by clicking “Reports” on the right-side horizontal navigation bar. You can make a custom report of employee fields by choosing the “Export Users” report. Simply tick the boxes for each field you want to add to your report!

Now that my TribeHR is set up, I want to get to the cool stuff. What do I do?
Giving Kudos
Celebrate your colleagues and the support they provide you by publishing Kudos—a public acknowledgement of the good work they do! As an administrator you can choose to publish these to the company activity feed so that everyone knows when someone does a great job.
Let TribeHR collect these Kudos over the year so that you can include them in your employee reviews!

Tracking and sharing your goals
Set goals for yourself and your employees, share them with the team, or keep them private! This function lets you create something as simple as a personal task list or as complex as a group project with multiple timelines, participants, and accountabilities.

Celebrating employee anniversaries
The company calendar automatically populates with employee anniversary dates so that you can celebrate their company-anniversary how you see fit! In addition to anniversaries, never forget about a colleague’s birthday again! Cake, anyone?
